1. Data Controller
RentalHandover ("we", "us") is the data controller for personal data collected through rentalhandover.com and the RentalHandover SaaS platform. Contact: hello@rentalhandover.com.
2. Data We Collect
We collect account registration data (name, email, company), usage data and inspection protocols created by tenants, photos and signatures uploaded during handover sessions, and payment information (processed by our payment provider; we do not store card details). When a protocol is signed we also record the time, the IP address and the browser of the signing device as evidence, plus the location — the latter only if the signer explicitly allows it in their browser.
3. How We Use Your Data
To provide and improve the RentalHandover service, to send transactional emails (inspection PDFs, account notifications), and to comply with legal obligations. We do not sell or share your data with third parties for marketing purposes.
4. Data Storage & Security
Servers and the database — and with them all account, customer and protocol records — run on OVH Cloud in Germany. Uploaded files (photos, signatures and protocol PDFs) are held in Cloudflare R2 object storage under an EU jurisdictional restriction — they are stored and processed exclusively within the EU. All data is encrypted at rest and in transit (TLS 1.3). Cloudflare additionally provides DDoS protection and delivery.
5. Data Retention
Inspection protocols are retained for the duration of your subscription plus 90 days after cancellation. You can request deletion of all your data at any time.
6. Your Rights (GDPR)
Under GDPR, you have the right to access, correct, port, and erase your personal data. To exercise these rights, contact hello@rentalhandover.com. You may also lodge a complaint with your national data protection authority.
7. Cookies
We use only essential cookies for session management. No tracking or advertising cookies are used.

1. Service Description
RentalHandover is a SaaS platform providing digital handover and return inspection protocols for rental businesses. Access is provided on a subscription basis as described in our pricing plans.
2. Subscription & Payment
Subscriptions are billed monthly. New accounts start on the Free plan and run at Basic limits for their first 14 days; no payment method is required at any point. Afterwards the account simply continues on the Free plan unless you choose a paid one — no unexpected charges. You may cancel at any time; access continues until the end of the current billing period.
3. Acceptable Use
You may use RentalHandover only for legitimate rental business operations. You may not resell, sublicense, or use the platform for illegal purposes. Each tenant account is for use by a single legal entity.
4. Data Ownership
You retain full ownership of all data, photos, and protocols you create. RentalHandover processes this data solely to provide the service. Upon cancellation, your data remains retrievable for 90 days.
5. Service Availability
We aim for 99.5% uptime (excluding scheduled maintenance). Planned downtime will be communicated at least 24 hours in advance. Enterprise SLA terms are available on request.
6. Liability
RentalHandover provides software tools. The legal validity of a digital protocol in any jurisdiction remains the responsibility of the user. We recommend consulting local legal advice for your specific jurisdiction. Our liability is limited to the amount paid in the preceding 3 months.
7. Governing Law
These terms are governed by German law. Disputes shall be resolved by the competent courts in Germany, unless EU consumer protection law provides otherwise.
